REPORTS TO: Contract Administration Manager
PURPOSE
This position predominately serves to answer pilot inquiries related to the AA/APA Agreement and to identify contract violations, via phone or email, as well as providing assistance and support to the APA Negotiating Department, and the Legal Department with grievances; supports the Negotiating Committee, Contract Compliance, other committees, and National Officers with contractual issues. Incumbent also conducts new-hire training and continuing training for contract administrators.
EDUCATION
- Associate degree or higher preferred but not required
EXPERIENCE
- Minimum 5 years’ experience working for a major air carrier in the crew scheduling or a related department
- Thorough knowledge of AA/APA Agreement, Flight Manual Part 1, and FAR 121 & 117
- Experience with crew scheduling, pilot pay compensation, pilot training, and pilot planning
- Knowledge of DECS/FOS and Sabre software programs and PC skills, including Microsoft office programs, ability to learn additional computer skills and use additional programs as needed
- Working knowledge of vacation computation
SKILLS
- Excellent written and verbal communication skills required for communicating with pilot membership, AA, and APA staff
- Customer service focus and ability to maintain professional demeanor and attitude throughout long days of staffing the Pilot Resource Group and responding to inquiries

DUTIES
- Responds to telephone and electronic inquiries from pilots regarding all aspects of the working agreement, including but not limited to: listening to the pilot’s description of problem(s), making a written record of critical facts, analyzing the problem in light of the agreement and/or Federal Aviation Regulations (FAR), answering pilot’s question(s) by explaining the agreement or FAR in light of the facts presented, and advising the pilot on possible course(s) of action as appropriate
- Coordinate with Negotiating Department; Negotiating, Contract Compliance, and other Committees; the APA Legal Department and other departments; and National Officers on contractual issues
- Advise APA support staff, committees, and leadership on the working Agreement to assist them in providing knowledgeable support to the pilot members concerning contractual issues
- Perform other duties as assigned by Senior Counsel/General Manager of Contract Administration and Enforcement or Manager of Contract Administration

Research, design, and develop computer and network software or specialized utility programs. Analyze user needs and develop software solutions, applying principles and techniques of computer science, engineering and mathematical analysis. Update software or enhance existing software capabilities. Develop cloud migration strategies and roadmaps for on-premises applications and infrastructure. Implement CI/CD pipelines using Azure DevOps or other tools for automated application deployment to foster DevOps culture. Design and implement disaster recovery with Azure Backup for data protection and business continuity plans. Troubleshoot and solve software issues. Integrate new software products with existing systems and applications. Check-in and merge software code. Perform peer code reviews, follow best practices and quality validation checks as required for projects. Provide information on projects to managers, peers and stakeholders as needed. Participate and contribute to agile development environment and team. Proactively identify problems, perform root cause analysis, investigate information, perform impact analysis, formulate, and execute plans to develop solutions.

PURPOSE
The Information Technology (IT) Administrative Coordinator will organize and oversee departmental calendars, schedule and facilitate meetings, implement and maintain digital filing systems, assist with departmental and project budget maintenance and expense tracking, support the Project Management Office (PMO) in tracking project activities, and provide general administrative support.
EDUCATION
- High school diploma or GED required
- Associate degree with specialized administrative and/or accounting coursework preferred
EXPERIENCE
- Minimum two years of progressively responsible administrative experience
- Proficiency in Microsoft Word and PowerPoint required; advanced Excel skills preferred

DUTIES
Contracts, Invoices and Budgets
- Assist the IT Director and managers in preparing, submitting, and tracking annual budget expenditures
- Support creation, submission, and monitoring of approval workflows for IT AFE requests, contracts, and statements of work
- Organize and monitor vendor documentation and invoicing; track per-AFE expenditures
- Track contractor and consultant expenditures versus budget, monitor spend run rate and provide weekly reporting
- Procure non-AFE items via department credit card and reconcile monthly
Administrative
- Manage communication and scheduling for the IT Director and managers, including agendas, mail, email, phone calls, and vendor coordination
- Manage departmental travel logistics and expense reporting (accommodations, transportation, itineraries)
- Provide administrative and clerical support (typing, proofreading, spreadsheet creation, scanning, copying).
- Compile and maintain digital departmental filing systems and contact databases; develop and implement archival policies consistent with departmental and legal requirements
- Organize internal and off-site team events and meetings, including reservations, catering, equipment, and related needs
- Maintain and manage departmental office supplies
- Assist with administration of the phone system for the Association as assigned
- Maintain Associations IT asset inventory in designated systems

Other

Negotiating Department Coordinator

SALARY GRADE: 7 (Non-Exempt/APSEA)
HIRING DIRECTOR: Mark R. Myers, Director of Pilot Negotiations and Contract Administration
QUALIFICATIONS
- Associate degree and five years of administrative support experience; or bachelor's degree or higher with three years of administrative support experience
- Paralegal experience or certificate a plus
- Minimum five (5) years' experience as an administrative professional required (without a bachelor's degree), preferably in a legal office or in a union or labor or employment law setting; experience within the aviation industry is helpful but not required
RESPONSIBILITIES
- A) 40% of time - Coordinates with more senior staff to perform administrative tasks within the department, as well as APA departments and committees supported by the department, including but not limited to, general office support, tasks supporting the implementation and management of the collective bargaining agreement, organizing and preparing documents, maintaining knowledge management protocols, providing note taking when needed during bargaining sessions and other meetings with the Company as well as during internal APA meetings, preparation of accurate and detailed meeting notes and summaries, general support of APA collective bargaining efforts, maintenance of historical documents and activity trackers, and participation in department meetings. Primary note taker for Contract Compliance Committee/AA call reviews (enforcement meetings).
- B) 40% of time - Coordinates the administration of the Negotiating Department, including coordinating office equipment and supplies; drafting departmental memos, correspondence, and other documents for staff, National Officers, Board of Directors, Committee members, and other APA Departments; managing resources; intake and phone monitoring; providing substantive responses to pilot questions (when able); handling special projects; coordination of and logistical support to department meetings, trainings, and travel; management of department schedules; and coordination of other department administrative and logistical needs.
- C) 5% of time - Supports department research efforts related to labor law, employment law, negotiating, FAA decisions, APA statutory compliance, history of party bargaining, and other topics specific to AA or APA, and compose research summaries. Conduct investigative research on various topics as needed.
- D) 5% of time - Assists the in-house attorneys and outside counsel in preparing and processing of grievances and arbitrations. When necessary, manage documents for APA outside litigation cases and coordinate with assigned counsel regarding discovery and other projects.
- E) 10% of time - Other duties as assigned by the Director of Pilot Negotiations and Contract Administration or the Senior Director for Legal Affairs.
This full-time position is located at APA headquarters in Fort Worth, Texas.
