QUALIFICATIONS:

  • Superior organizational, writing and editing skills
  • Excellent telephone skills
  • Keyboarding 55 wpm and basic telephone technology
  • Advanced skills in Microsoft Word, working knowledge of Excel, PowerPoint, Microsoft Access, Outlook and Adobe Acrobat
  • Minimum of a high school diploma; Associates/bachelor's degree preferred
  • Ability to work independently and multi-task projects with varying priorities and deadlines
  • Ability to handle sensitive documents and maintain confidentiality
  • Grammar skills - expert level

INITIAL RESPONSIBILITIES:

  • Supports the Safety, Training, Security, Aeromedical and Professional Standards (STSAP) Department in all administrative aspects including: answering and directing incoming telephone calls, typing, proofing, and editing documents; ordering departmental supplies; drafting and editing correspondence and email.
  • Manages the STSAP filing including all incoming correspondence; forwarding correspondence to the various committees and appropriate staff; compile, update, archive, and maintain various committee correspondence and other documents.
  • Facilitates communication between APA headquatiers, AA, NTSB and the FAA for committee members working from remote locations.
  • Ensures effective communication between Director of Safety, Training, Security, Aeromedical, & Professional Standards and the FAA; maintain all FAA-related case files; calendars and tracks all depatimental deadlines.
  • Assists in coordination of committee meetings, Board of Directors meetings and other activities including teleconferences, making notebooks for various projects, and/or collecting materials or preparing presentations.
  • Patiicipates in special projects as assigned by the STSAP director and STSAP manager relating to committee objectives.
  • Available to work flexible hours in support of the STSAP director and STSAP manager and various committees.
  • Maintain committee Web pages.
  • Coordinate and track the progression of projects.
  • Maintain the STSAP general e-mailbox for the department.
  • Draft, edit, and coordinate blast emails from the committees.
  • Troubleshoot Committee Member's technical problems.
  • Draft and edit Manuals and Handbooks.
  • Create, format and animate PowerPoint presentations.
  • Coordinate the formatting and dissemination of all STSAP documents (including but not limited to: atiicles, Digest items, bulletin board content, newsletters, memos, etc.).
  • Email event response letters to appropriate pilots (CERS events).
  • Provide assistance in activation and deployment of the Accident Investigation Team, in case of accident.
  • Provide onsite administrative support for the Accident Investigation Team.
  • Provide onsite administrative and audiovisual support for off-site meetings (NTSB Public Hearings, BOD meetings, etc.).
  • Update the After Hours Phone Call database.
  • Assist in set-up and support for all STSAP related meetings/conferences.
  • Complete special projects as assigned by STSAP director and STSAP manager.
  • Participates in APA receptionist relief rotation.
